Thanks Allyson, Asmeret, and Andy, for setting up the carbon neutrality initiative for the Albuquerque Conference! I just clicked on the link below and processed my contribution of $15.27 (thus offsetting my share of our collective estimated emission of 900.9 metric tons). The procedure is very simple and the contribution affordable.
Thank you, also, to Ali, Richard, Justus, Nuno, and others for prompting us and encouraging this initiative!
While participation is optional, I'd like to encourage all members of the program and organizing committee, and of the Society Policy Council, to do the same, and to help us "lobby" during the conference, alongside Allyson and Asmeret, to make sure we sensitize every conference participant to this issue. I hope we achieve as close as possible to 100%.
Unfortunately, we still do not have a sponsor to help us achieve this goal (and perhaps to benefit from the publicity deriving from it!). If anyone knows of someone/organization who would be willing to match 10-20c on the $1, for example, please let us know.

Dear Policy Council Members and Other Interested Parties:
For this year's Summer Policy Council Meeting we will follow the format set up last year:
(1) Full Officer and Committee reports should be posted to the 2009 Summer Policy Council Meeting section on your User Menu Page of the Web Submission System at http://www.systemdynamics.org/cgi-bin/sdsweb;
(2) PC Members are asked to review all the reports and ask clarification questions by July 17th using the PC-Listserve at Policy Council Listserv < >; and
(3) the face-to-face meeting will take place on Sunday July 26th at the conference in Albuquerque. At the face-to-face meeting, officer and committee reports will not be presented again, but a brief discussion will be allowed. If the report raises issues that require further discussion and possible motions, those topics will be placed later in the agenda.
Your full reports are due to be posted by July 10th. Also, if you are aware of any issues that should be placed on the agenda for further discussion and possible voting, could you please let me know as soon as possible. Reminders will follow. The agenda will be posted very soon.
Thanks again for your excellent service to the Society. I look forward to seeing you in Albuquerque. Some folks have not yet replied to Roberta regarding attendance at the PC Meeting. If you have not, please do so as soon as possible. If I can help in any way please let me know.

Dear Policy Council Members,
A motion for the 2011 conference site selection has been made: the Conference Selection Committee recommends Washington, DC. Discussion and voting for this motion are open. This is an emergency vote and voting will end on Friday, October 2 at midnight (New York time).
The hotel cost is $169 per night plus tax which is low compared to the other venues considered. It is a big hotel with good meeting facilities. The hotel is located very close to the airport with easy access to nearby shops and restaurants and the subway which runs to all DC attractions.

For 2011 we looked at 4 different Venues - 2 in Boston and 2 in Washington. Of the 4 the two best were the Hyatt in Boston (Cambridge
really) and The Hyatt in Washington. Side by side the Washington Hyatt seems somewhat more attractive, to a significant degree because it is in Washington and not Boston.
Neither of these locations are the result of any proposals being put forward by local organizers. Instead, Roberta contacted the two Hyatt hotels and got quotes from them. There are a number of people in Washington, including Umar Imrama, who do have some enthusiasm for helping with local organization, but a coherent group has not yet coalesced. Boston does not have any local organizing group either.
So, in a nutshell, it seems like a good venue (both on paper and based on the impressions of Umar Imrama and Bill Ryder who visited it over the
weekend) and we think a coherent local team will emerge and make it a good conference.
The urgency of the vote is the result of the hotel's need to close contracts, and the Site Selection Committees failure to double check the minutes of the PC meeting. We were operating as if we had been told to pick a venue in either Boston or Washington, but that is not what we had been instructed to do. Thus the vote.
I hope that is helpful. I have the comparison spreadsheet on the two Hyatt hotels that Roberta prepared if anyone wants (lots) more detail.

We had two proposals from Boston/Cambridge and numerous from the DC area.
The DC area proposals were generated by RFPs sent from Veena Dhillon, Powersim Solutions and also through the Destination DC, the official convention and tourism corporation for Washington, DC.
All proposals were considered and narrowed down to the one best in Boston area and the one best in the DC area. Financially, these best proposals are comparable in benefits for the conference.
Overall range of sleeping room prices: $159 single / $179 double to $225.00 single / $245.00 double.
Cambridge sleeping room prices: $159 single / $179 double / $204 triple /
$229 quad
DC area sleeping room prices: $169 SAME for all (single - quad)
Additional to prices above are room taxes: less in DC - 10.25% compared to 14.25%.
Both hotels are offering student and staff rooms at $129 plus taxes (up to 25% of block).
Food prices at hotel (banquet, coffee) in DC area are less.
Meeting space is comparable. DC has the benefit of having a cavernous exhibitor space where the poster symposium can occur, this gives us the flexibility to have the posters remain in place after the poster symposium event. Both hotels have meeting rooms on multiple floors rather than one floor. Boston is 2 floors with 80% of space on one floor, DC is 2 or 3 floors (depends on configuration, hotel is flexible).Airfare Comparison (Expedia.com for July 2010):
DCA (Washington Regan)/BOS: $139 - $303
DCA/Brussels: $1200 - $1360
DCA/Seoul $1200 - $1770
BOS/BOS: $0

US Gov Per Diem Comparison (Current Hotel/Food):
DC: MAX: $229 ($165/$64)
Boston: MAX: $267 ($203/$64)
There is activity in DC, Imrana Umar and Bill Ryder performed the site visit. The general feeling that I get is that folks would like to have the conference in the DC area rather than Boston for 2011. We have program co-chair volunteers (not yet voted on) that will carry out this role in either DC or Boston.
The hotel in DC area (Crystal City) is BIG - 18 floors and from what I understand, there is an underground "city." Reports from the site visit were that it's easy to get lost, with lots of choices for ground transportation so we will have to be very clear about this as well as other local information, for example restaurants. The Metro makes the city very accessible.
The hotel proposals are quite similar, there are no strong pros and cons in the hotel proposals. I think the location is important for 2011.
